1. About LogMyVehicle

LogMyVehicle is online software for recording vehicle checks, mileage logs, defect reports, defect photos and audit-ready PDF reports for owner-drivers, small fleets and vehicle operators.

2. Use of the service

You may use LogMyVehicle to record and manage vehicle and driver records for your own business or organisation. You must not misuse the service, attempt to access accounts that do not belong to you, interfere with the security of the system, or use the service for unlawful purposes.

3. Vehicle safety and compliance responsibility

LogMyVehicle helps you keep records, but it does not replace your legal, operational or safety responsibilities. You remain responsible for vehicle safety, roadworthiness, driver management, legal compliance, inspections, maintenance decisions and the accuracy of all information entered into the system.

4. Accounts and authorised users

Account administrators are responsible for inviting authorised drivers only, removing or disabling users who no longer require access, keeping login details secure, and ensuring that staff use the system appropriately.

5. Trial and subscriptions

New accounts may receive a free trial where offered. Continued use after the trial requires an active paid subscription. Plan limits may apply to vehicles, drivers, reports, features or other usage. We may change plan features or pricing for future billing periods by giving reasonable notice.

6. Billing and payments

Subscription payments are processed by Stripe or another payment provider. LogMyVehicle does not store full card numbers. If a payment fails, access may be restricted, paused or cancelled until payment is resolved.

7. Cancellations

You may cancel your subscription using the billing portal where available or by contacting support. Cancellation normally stops future billing; it does not automatically refund previous payments unless required by law or agreed by us.

8. Data and records

You are responsible for the data entered into your account. You should export and retain any records you need for your own compliance, audit, insurance, accounting or operational purposes. We may provide tools to export reports, but you should not rely on LogMyVehicle as your only record store.

9. Uploaded content

You must only upload photos, notes and files that are relevant to vehicle checks, defects, mileage records or your legitimate use of the service. You must not upload unlawful, offensive or unrelated content.

10. Service availability

We aim to keep LogMyVehicle available and reliable, but we do not guarantee uninterrupted access. The service may be unavailable during maintenance, updates, hosting issues, security incidents or events outside our reasonable control.

11. Limitation of liability

LogMyVehicle is provided as a record-keeping tool. To the maximum extent permitted by law, we are not liable for indirect losses, loss of profit, loss of business, loss of goodwill, regulatory penalties, missed inspections, vehicle downtime, or decisions made based on incomplete or inaccurate records.

12. Suspension or termination

We may suspend or terminate access if you fail to pay, misuse the service, breach these terms, create security risks, or use the system in a way that may harm LogMyVehicle or other users.

13. Changes to these terms

We may update these Terms of Service from time to time. The latest version will be published on this page. Continued use of the service after changes are published means you accept the updated terms.

14. Governing law

These terms are governed by the laws of England and Wales, unless mandatory local law requires otherwise.
